HVAC ANSWERING SERVICE · EARLY ACCESS

HVAC answering service for no-heat nights.

The first cold night or heat wave fills every line at once. WarmAnswer is preparing an AI answering service for HVAC companies that separates urgent comfort calls from routine bookings and hands your dispatcher the facts.

What an HVAC answering service has to get right

HVAC demand arrives in spikes. When temperatures swing, the same morning brings a family with no heat, a landlord with three units blowing warm air and a homeowner who wants a spring tune-up. A generic message service writes all three down the same way. Your dispatcher then calls everyone back to find out which one could not wait.

The intake we are designing asks the questions a dispatcher would ask first. Is the system off completely or just struggling? Is anyone in the home vulnerable to heat or cold? Gas furnace, heat pump or boiler? Is the caller an existing customer or a maintenance-plan member? The answers become a short summary instead of a voicemail to replay.

HVAC calls the early-access workflow is built around

“The heat stopped and it’s 20 degrees out.”System type, whether it runs at all, thermostat reading, anyone elderly, infant or unwell in the homePriority request, routed by your after-hours rules

Rules we agree with you before activation

  • Safety stops. The exact wording for gas odor, carbon-monoxide alarms, burning smells and water near equipment, and who is notified.
  • What counts as urgent. Outdoor temperature thresholds, vulnerable occupants, commercial refrigeration or server rooms if you serve them.
  • Dispatch and fees. Whether after-hours diagnostic or trip fees are disclosed on the call, and in what words.
  • Service area and equipment. ZIP codes you cover and brands or system types you do not service.
  • Transfers. Which calls ring the on-call technician, for how long, and the fallback if nobody answers.

Where your team stays in charge

The receptionist does not walk callers through resetting breakers, relighting pilots or clearing condensate lines. It does not quote repair prices, promise arrival times or confirm appointments without a real calendar connection. HVAC work involves gas, refrigerant and high voltage, so any judgment beyond intake goes to a person.

HVAC FAQ

Before HVAC goes live.

Can WarmAnswer answer HVAC calls today?

You can try our live HVAC conversation demo. It does not save a service request, send a message or book a visit. Real HVAC call handling is still in early access: the call types, questions and safety wording on this page have to be configured and approved by an HVAC owner before any HVAC number is connected.

How would a gas smell or carbon-monoxide alarm be handled?

As a hard stop, never as a troubleshooting conversation. The exact immediate-danger wording and who gets notified are agreed with you in writing before activation. Until that rule exists and has been tested, WarmAnswer will not take HVAC calls.

Will the receptionist diagnose the system or quote a repair?

No. It records what the caller reports, such as no heat, short cycling, ice on the line or a water leak at the air handler, and passes it to your team. Diagnosis, repair pricing and arrival times stay with your staff.

Can it tell maintenance-plan members apart?

That is one of the rules to design with you. If you keep a member list or a simple way to verify membership, the receptionist can ask for it and flag the call; it does not look up your CRM unless an integration is built and approved.
